As already offilcially stated there is the plan to release OTRS 7 as community version some years after the main OTRS release. don't accept personal mails. Teching the users to contact servicedesk instead is the best solution.

And as Roy said, bouncing it to OTRS is the technical propper solution

what exactly you want to achieve? The API you mentioned is for the communication of the external frontend to the backend and limited to the functionality of this frontend.

You might have a look on the Generic Interface Webservice API

the update has to be manually and you have to follow all major releases:

3.3.x -> 4 (latest) -> 5 (latest) -> 6 (latest)

OTRS 3.x is out of support and security fixes since years (and is remote exploitable). Version 6 is actuall community version and receives security fixes

die Philosophie von OTRS ist es, das der Agent eine Antwort an den Kunden schreibt und in diesem Zuge das Ticket schliesst oder auf warten auf schliessen setzt...

Ansonsten schaue Dir mal die Ticket Benachrichtigungen an, auch ein Training () scheint empfehlenswert

Der Sync hat nichts mit Kundendaten zu tun, sondern mit Agenten.

Kundenbenutzer werden zur Laufzeit aus dem LDAP gelesen und nicht in die OTRS Datenbank syncronisiert

ich empfehle trotz allem aber zumindest eine Schulung () und/oder professionelle Unterstützung bei der Einführung. OTRS ist eine komplexe Software, die nicht mal einfach Plug&Play zu nutzen ist

Du solltest mal den Netzwerkverkehr zwischen OTRS und Deinem Mailsystem mit Wireshark überprüfen

just create an user which has permission to the users group (this group allows access to customer and customer user admin frontends)

sounds like performance issues on the notes pop3/imap stack.

I suggest forwarding and using a local MTA and MDA (procmail) on the OTRS server

Dann ist erstmal die Adresse für den Daemon und den Admin falsch. Ansonsten gibt es wohl ein Problem mit Sysconfig Settings die nicht deployed werden können.
